Service agreement

Terms of Service

Renavo operates inside hotel systems, so authority and accountability must be explicit. These terms separate public evaluation use from the signed agreement required for a live hotel deployment.

Agreement and service orders

These terms govern use of renavo.net, public demos and any Renavo service made available without a separate signed agreement. A signed pilot agreement, order form or enterprise agreement governs a paid hotel deployment and prevails if it conflicts with these website terms. If you use Renavo for an organisation, you confirm that you are authorised to bind it.

The service

Renavo receives guest communications, creates and dispatches operational work, retrieves hotel information, performs permitted hotel-system actions and records evidence in the Ledger. Features depend on the selected channels, hotel systems, policies and deployment profile. Public demos and the Renavo Test PMS contain synthetic data and are not hotel systems of record.

Hotel authority and responsibilities

The hotel remains responsible for its guests, staff, rates, inventory, taxes, refunds, safety procedures and legal obligations. The hotel must provide accurate policies, authorised credentials and trained operations owners; review incidents; revoke departed users; and keep fallback procedures. Renavo must not be given authority that the hotel itself does not possess.

Money and approval controls

Renavo can prepare or perform policy-bounded rate, fee and stay-change actions when the connected hotel system supports them. The hotel chooses between autonomous execution inside policy and an approval-first switch for all money actions. Renavo is not a bank, card network or merchant of record. A guest-facing success message must follow a verified system receipt; ambiguous or failed writes must not be represented as completed.

Accounts and acceptable use

Keep credentials confidential and use individual accounts. Do not use Renavo to break laws, access systems without permission, process prohibited data, harass guests or staff, interfere with security controls, probe other tenants, or deploy the synthetic Test PMS as a real property system. Tell security@renavo.net promptly about suspected compromise.

Data and confidentiality

Each party retains ownership of its information. The hotel authorises Renavo to process hotel data only to provide, secure and support the service. The Privacy Policy describes that processing. Each party must protect the other's confidential information and may disclose it only to personnel and providers who need it or where law requires.

Third-party systems

Renavo may connect to PMS, communications, email, AI, hosting and observability services supplied by others. Their availability, terms and API or interface changes are outside Renavo's control. The hotel is responsible for licences and permissions for its systems. Renavo may pause an integration when continuing would create a security, privacy or operational risk.

Reliability and changes

Renavo is designed for audited recovery, not perfect availability. Maintenance, upstream outages, model uncertainty and hotel-system failures can delay or stop work. Hotels must retain human escalation and business-continuity procedures. We may improve or replace features while preserving the material service purchased under an applicable order.

Warranties and liability

Public demos and evaluation access are provided as available and must not be relied on for live hotel operations. For paid deployments, warranties, service levels, indemnities and liability limits are defined in the signed order or enterprise agreement. Nothing in these terms excludes rights or liability that cannot legally be excluded.

Suspension, termination and contact

We may suspend access where needed to protect guests, hotels, systems or the service, or for a serious breach. On termination, access ends and hotel data is returned or deleted according to the applicable agreement and retention obligations.
